Manage Accounts Receivable functions including invoicing, payment tracking, and follow-up on past-due invoices
Process incoming mail and checks; accurately post payments in the appropriate accounting and membership software
Maintain and update member and contact records within the Association Management Software to ensure data accuracy and integrity
Assist with scheduling meetings, maintaining calendars, and coordinating logistics as needed
Track expenses, assist with expense reporting, and support basic financial recordkeeping
Provide administrative support for basic marketing initiatives, including member communications and coordination with internal teams
Perform general administrative duties including file management, reporting, and document preparation
Recommend and assist with implementation of improved administrative and financial processes
Other duties and responsibilities may be assigned to assist with miscellaneous projects and support other departments as needed
QUALIFICATIONS & EXPERIENCE
Bachelor's Degree in Accounting, Finance, or Business or relevant experience in lieu of a degree
2 years of experience in administrative support, accounts receivable, membership services, or a related role advantageous
Previous experience with invoicing, payment processing, and basic accounting procedures desired
Strong attention to detail with a high-level of accuracy in data entry and financial recordkeeping
Excellent organizational, time management, and multi-tasking skills
Strong written and verbal communication skills with a customer-first mindset
Ability to handle sensitive financial and member information with discretion and professionalism
Proficiency in Microsoft Office suite including Excel; experience with accounting or Association Management Software preferred
Ability to work independently while also collaborating effectively with team members
REPORTINGThis is a hybrid position (expected three days/week in IHLA’s downtown Chicago office) and reports to the Director of Finance.
